Administrative Assistant

White River Valley Ambulance is seeking a qualified, energetic, enthusiastic candidate to fill an Administrative Assistant position at our Bethel, VT location. We are a non-profit, emergency medical services and ambulance transport agency serving the towns of Barnard, Bethel, Braintree, Brookfield, Granville, Hancock, Pittsfield, Randolph, Rochester and Stockbridge, Vermont. Summary:

Provides office services by implementing administrative systems, procedures, and policies, and monitoring administrative projects.

Requirements:

  • High school diploma/GED
  • 3+ years of administrative support experience with increasing responsibilities required
  • PC/Mac desktop computer proficiency
  • Microsoft Excel proficiency
  • Microsoft Word familiarity
  • Strong attention to detail and excellent organizational skills

Duties:

  • Performs general clerical duties to include but not limited to: photocopying, faxing, mail processing and filing.
  • Coordinates and maintains records for staff information, certifications, phones, financial transactions.
  • Maintains work flow by studying methods, implementing cost reductions, and developing reporting procedures.
  • Creates and revises systems and procedures by analyzing office practices, recordkeeping systems, and office layout; implementing changes.
  • Creates and modifies various documents using Microsoft Office.
  • Verifies staffing calendar(s) in current and accurate status.
  • Coordinates meetings and conference calls as needed or anticipated.
  • Answer phones promptly and uses good judgment to prioritize the distribution of messages in a timely manner.
  • Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
  • Prepares patient care reports and administrative information.
  • Responsible for keeping inventory of all office supplies and placing orders for replenishment is needed.
  • Records minutes at various meetings and archives them accordingly.
  • Performs all other related duties as assigned.

Preferred Assets:

  • College degree or business vocational school education preferred
  • Previous experience in a healthcare environment preferred
  • Ability to multi-task in a fast paced and deadline driven environment
  • Ability to maintain professionalism and a positive service attitude at all times
